Tax receipts

The tax receipt is the official document that allows a donor to deduct their donation from their taxes. Unisoft automatically manages the generation, sending and tracking of all your tax receipts, in compliance with the regulations applicable to your organization.

What is a tax receipt?​

A tax receipt attests to a donation made to an association eligible for tax deduction. Depending on the country of your organization, it takes the form of:

  • France: official form CERFA nΒ° 11580
  • United Kingdom: Gift Aid declaration
  • Israel, USA, other countries: local receipt compliant with regulations

A tax receipt contains:

  • The donor identity (individual or company)
  • The deductible donation amount
  • The date of the payment
  • The details of your organization (name, address, legal identifier)
  • A unique receipt number
  • The type of donation (monetary, in kind)
  • An electronic signature authenticating the document

Automatic generation​

In the majority of cases, you have nothing to do: Unisoft automatically generates and sends the tax receipt as soon as a payment is validated.

Conditions for automatic generation​

What happens automatically?​

  1. The tax receipt PDF is created with all information
  2. The PDF is electronically signed
  3. An email is sent to the donor with the PDF as attachment
  4. A copy is kept in Unisoft, accessible from the payment profile

Add a forgotten tax receipt​

If a payment didn't automatically generate a tax receipt (for example because the option wasn't checked at entry):

    Open the payment Edit menu

    In the list, click on the pencil icon on the right of the line.

    Click 'Add a tax receipt'

    The option appears if no receipt yet exists for this payment for the concerned year.

    Check the information

    Unisoft pre-fills the form with the payment data. Check that:

    • The donor is correct
    • The taxable amount corresponds to the amount to be deducted
    • The date is exact

    Validate

    The receipt is generated, signed, and sent by email to the donor.

Edit an existing tax receipt​

You can modify a receipt already issued if you detect an error (incorrect declared amount, incorrect donor info).

    Open the payment Edit menu

    Click 'Edit the tax receipt'

    Adjust the fields

    You can modify:

    • The taxable amount (if you want to declare a different amount from the payment, for example to exclude fees)
    • The donor information (name, address, individual/company type)

    Validate

    Unisoft generates a new PDF with the updated information. The donor automatically receives the corrected receipt by email.

You can adjust the taxable amount and the donor information.

Regenerate on the total amount​

Typical case: a 200 € payment has a receipt for only 150 € (for example because part corresponded to a non-deductible counterpart, which has since been canceled). You want to regenerate the receipt on the total amount of 200 €.

    Open the payment Edit menu

    Click 'Regenerate on total amount'

    This option only appears if the existing receipt has an amount lower than the payment amount.

    Confirm

    Unisoft cancels the old receipt (which will appear in the canceled receipts of the tax declaration) and issues a new receipt for the total amount of the payment.

    The donor is notified

    An automatic email informs the donor of the update, with the new receipt as attachment.

Resend a tax receipt by email​

If a donor has lost their receipt or didn't receive it:

    Open the payment Edit menu

  2. 2

    Click 'Resend the tax receipt'

    The option appears if a receipt exists and an email is associated with the contact.

    Confirm

    Unisoft resends the PDF of the receipt to the donor's email address. No new receipt is created β€” it's the same document that is reshipped.

Tax receipts for companies​

If the donation comes from a company, the receipt must be issued in the name of the legal entity and not of a physical person.

At payment entry​

  1. When creating the donor contact, check Type: Professional
  2. Fill in:
    • Company name (name of the company)
    • Company ID (tax identification number)
    • Billing address

The receipt will automatically be issued in the company's name, with the right regulatory header.

For an already issued receipt​

If a receipt was issued by mistake in the name of an individual when it should have been in the company's name:

  1. Modify the contact to switch to Type: Professional
  2. Edit the tax receipt to update the information

Tax receipts and refunds​

When a payment is refunded (see Refund a payment), Unisoft automatically cancels the associated tax receipt:

  • The receipt goes to Canceled status
  • It appears in the Canceled receipts section of the tax declaration
  • An email can be sent to the donor to inform them of the cancellation

Cases where the receipt is not generated​

Download and archiving​

To download a tax receipt PDF:

  1. Open the detail of the payment (eye icon in the list)
  2. In the Tax receipt section, click on Download PDF
