Export for accountant

Preview: Export for accountant

The Excel export lets you quickly transmit the list of your payments to your chartered accountant, to your treasurer, or archive it for your own needs.

Launch an export

  1. 1

    Open the payments list

Payments module → All payments tab.

  2. 2

    Apply the desired filters

The export contains only the payments currently displayed in the list. Use filters to target:

    • A specific period (Date filter)
    • A specific payment method (checks, cards…)
    • A specific status (validated only, for example)
  3. 3

    Click 'Export'

Button at the top right of the list.

  4. 4

    Download the file

The file export_paiements_DD_MM_YYYY_HH_mm.xlsx is downloaded automatically.

Typical use cases

Monthly bank reconciliation

  1. 1

    Filter on the past month

Date filter → first to last day of the month.

  2. 2

    Export

The resulting file lists all payments of the month.

  3. 3

    Compare with the bank statement

Check that each line corresponds to a credit on the bank statement (taking fees into account).

Quarterly report for the chartered accountant

  1. 1

    Filter on the quarter

Date filter → first day of the quarter to the last.

  2. 2

    Filter by type if desired

You can generate multiple exports: one for campaign donations, one for form fees, etc.

  3. 3

    Transmit the files

Send the XLSX files to your chartered accountant. The columns are compatible with most accounting software (Sage, Cegid, EBP).

Annual audit

  1. 1

    Filter on the full year

Date filter → from January 1st to December 31st.

  2. 2

    Export without other filter

You get the entirety of the year's payments.

  3. 3

    Complete with the tax declaration

See Annual tax declaration for the specific legal tax receipt report.

Best practices

  • Filter before exporting: otherwise the file contains the entire history, which can be heavy and not very useful
  • Keep the exports: archive each monthly export in a dated folder, they serve as historical proof in case of audit
  • Check consistency: before transmission, open the file and check the total — it must match the statistics displayed at the top of the list
  • Anonymize if necessary: for sharing with third parties not authorized to see donor details, delete the Email, Phone, Address columns before transmission

Format limitations

  • The exported file is a snapshot at the time of export. If you modify a payment afterwards, the export is not updated — you must launch a new export.
  • For global statistics (totals by type, by month…), use the Dashboard instead.
  • For tax receipts only, use the specific export of the Tax declaration.
