To steer your Budget seriously, you must regularly view the complete operation history on each booklet. This page guides you in good reading and control habits.

Why regularly view the history?​

Open the history​

The detail of a booklet opens by clicking on View More at the bottom of its card on the Budget page. The window that opens lists all the operations of the booklet.

Read the table efficiently​

Sort the history​

Sorting is done by clicking on the column headers. Three sortable columns:

By date (the most useful)​

By default, the history is sorted by descending date (most recent at the top). Click on Date to reverse and see the oldest operations at the top.

Use case:

  • Audit a complete fiscal year from start to finish
  • Find the first operation of a booklet to understand its origin

By label​

Alphabetical sorting. Useful to group similar operations:

  • All donations from the same person (if the label includes the name)
  • All operations containing a specific keyword ("Subsidy", "Purchase", "Transfer")

By amount​

Sorting by numerical value. Useful to identify the largest movements:

  • List the largest donations received in a campaign booklet
  • Identify the largest expenses allocated to a project booklet

Trace back to the source​

Each operation is traceable down to its source record via the eye button in the right column.

Typical workflow: monthly audit of a booklet​

    Open the booklet detail

    Budget module β†’ booklet card β†’ View More.

    Sort by descending date

    Check that the default sort displays the most recent operations at the top.

    Go through the operations of the month

    For each line of the current month: check the amount, label, date.

  4. 4

    Check for anomalies

    • An abnormally high amount? Click on eye to open the source record and check the context.
    • An unclear label? Check the nature of the operation (payment or transfer).
    • A date that doesn't match? If it's an erroneous manual entry, the source record allows you to correct it.

    Cross-check with the bank statement

    Check that each entry corresponds to a credit on your bank account (with a possible delay of a few days). See Access bank reconciliation.

Special cases​

Several operations on the same day​

If several operations are dated the same day, the default order follows the creation order. You can click on Label or Amount for a secondary sort.

Pending operations​

Some operations may temporarily appear in the booklet then be adjusted (for example, an online payment whose bank fees are updated 24 hours later). This is normal.

Search by keyword​

The detail window has no integrated search bar. To search by keyword, use the sort by Label and scroll through, or use the Payments module exports which offer a complete search.

Best practices​

  • One review session per month: take 30 minutes per month to go through the history of each active booklet
  • Note exceptions: if you find an anomaly, document it (date, booklet, amount) before correcting it
  • Cross-check with the bank: a well-kept booklet matches the bank statement within a few days
  • Export at the start of the year: before closing, export the history for your paper or digital archives
