Create a booklet

A booklet is a budget sub-container dedicated to a project, a fund or an item of your community. Creating a booklet allows you to isolate the entries and outflows linked to this project, without them mixing with the Main cash register.

When to create a booklet?​

Fund or booklet?

If your project has a public financial goal ("10,000 € to collect") and you want to present it to donors with a dedicated page, create a fund rather than a booklet. The fund automatically generates its booklet in the Budget. See Funds.

The pure booklet remains an internal tool, without public visibility.

Before you start​

You will need:

  • A clear name for the booklet (visible to all administrators)
  • Optionally an internal description (your personal notes)
  • The gestion permission on the Budget module

Procedure​

    Open the Budget module

    In the sidebar, click on Budget.

    Click on Β« Create a Booklet Β»

    At the top right of the sub-header, click on the Create a Booklet button (cyan color). An entry window opens.

    Enter the name

    In the Name field, indicate a short and explicit label. This name will appear on the booklet card and in all the lists.

    Examples: "Renovation 2026", "Family assistance", "Library fund".

    Add a description (optional)

    The Description field is intended for your internal notes. It is only visible to administrators who have access to the Budget.

    Example: "Booklet opened in May 2026 to collect donations earmarked for renovation works. Internal goal: 50,000 €."

    Validate

    Click on Validate. The booklet is created immediately and appears in the card grid.

The creation window asks for a name and an optional description.

And after creation?​

Once the booklet is created, it is empty (balance at zero). For it to start receiving funds, you have two options:

Special cases​

Booklet in a specific association (multi-organization)​

If your account manages several associations, the booklet is created in the currently filtered association:

  • If the filter is on "All associations": the booklet is attached to the default main association
  • If the filter is on a specific association: the booklet is attached to this association

To create a booklet in another association, filter first on the relevant association, then click on Create a Booklet.

Creation not available (missing permission)​

If you don't see the Create a Booklet button, your account doesn't have the gestion permission. Ask a main administrator to assign you the right in Permissions. See Permissions.

Duplicate names​

Unisoft does not prevent the creation of two booklets with the same name. To avoid confusion, add a distinctive detail:

  • ❌ "Renovation" + "Renovation"
  • βœ… "Hall renovation 2025" + "Hall renovation 2026"

Best practices​

  • Name short but explicit: the name must be understandable at a glance
  • Prefix with a theme if you have many booklets: "WORKS – Renovation", "WORKS – Roof", "SOCIAL – Family aid"
  • One booklet per project, not one per expense: otherwise your Budget becomes unreadable
  • Archive old booklets to keep a clean view: see Archive a booklet
