Access bank reconciliation
Bank reconciliation is the operation of comparing your actual bank transactions (bank statement) with your Unisoft Budget, line by line, to make sure the two views are consistent.
It is the essential tool for reliable accounting and for quickly detecting discrepancies.
What is bank reconciliation?β
For each line on your bank statement, you must confirm that it corresponds to an operation in your Unisoft Budget. If yes, you validate the line. If not, you identify the discrepancy (missing payment, forgotten fees, double entry, etc.).
Conditions to accessβ
Bank reconciliation is an optional feature. To access it, several conditions must be met:
| Condition | Detail |
|---|---|
bank.read permission | Your profile must have this right (usually reserved for treasurers and main administrators) |
| Linked bank account | At least one of your organization's bank accounts must be configured in Unisoft |
| Compatible environment | This feature is not available in all environments |
If you don't have the bank.read permission, the Bank Reconciliation button does not appear at all on the Budget page. Ask a main administrator to grant you this right in the Permissions module.
Access procedureβ
- 1
Open the Budget module
In the left sidebar, click on Budget.
- 2
Locate the Β« Bank Reconciliation Β» button
It is in the sub-header at the top right, just to the left of the Create a Booklet button. It is purple.
- 3
Observe the notification badge
If a number appears in red next to the button, it is the number of bank transactions not yet validated that you need to process.
Example: a "12" badge means there are 12 lines left on your statement to check off.
- 4
Click to enter the reconciliation screen
The reconciliation screen opens. Admin URL:
/app/bank/list.
Anatomy of the reconciliation screenβ
The screen consists of three main areas:
| Area | Content |
|---|---|
| Tabs at the top | One organization per tab (if you manage several associations) |
| Bank account selector | If you have several linked bank accounts, a menu lets you switch |
| Transaction table | List of bank statement lines with status (validated, pending, rejected) |
The statuses of a bank transactionβ
| Status | Meaning |
|---|---|
| Validated | The transaction has been recognized and linked to a Unisoft operation |
| Pending | The transaction has not yet been processed (to be checked off) |
| Rejected | The transaction did not find an equivalent (to investigate or regularize) |
Concrete case: your first reconciliation sessionβ
Imagine your May 2026 bank statement contains 25 lines:
- 20 lines correspond to online donations already recorded in Unisoft: they will be offered with an automatic match that you validate with one click
- 3 lines correspond to bank fees: to be classified manually
- 1 line corresponds to a transfer received from a foundation: to reconcile with a manually entered income
- 1 line corresponds to a collected check: to reconcile with the payment entered 8 days earlier
At the start of the session, the badge shows "25". At the end, it shows "0": everything is reconciled.
See Validate a bank transaction for the detailed procedure.
Recommended frequencyβ
| Monthly volume | Recommended frequency |
|---|---|
| Less than 20 transactions | Monthly (a 15 min session at the end of the month) |
| 20 to 100 transactions | Weekly (5-10 min per week) |
| More than 100 transactions | Daily or in batches of 2-3 days |
The earlier you reconcile, the faster it is: fresh memory helps identify operations.
Distinction with Unisoft balancesβ
A point of attention: bank reconciliation does not change your Unisoft balances. It is only used to validate that each bank movement has a counterpart in your Budget.
If the reconciliation reveals a discrepancy, you must act on the Budget side (add a missing operation, correct an amount) to reconcile the two views.
See Understand balances for the distinction.
