Cancel a donation pledge
Cancellation disables a pledge that will never be fulfilled β for example, a donor has withdrawn, you entered something by mistake, or the pledge has become obsolete. Unlike a permanent deletion, the pledge remains visible in the Canceled tab for traceability reasons.
Cancellation vs deletion: the differenceβ
Unisoft practices soft delete: the pledge is not erased from the database. It is simply marked as inactive.
| Aspect | Cancellation (soft delete) | Permanent deletion |
|---|---|---|
| Available in Unisoft | β Yes β standard behavior | β No β reserved for technical support |
| Viewable in the Canceled tab | β Yes | β No |
| Counts in active KPIs | β No | β No |
| Trace for audit | β Preserved | β Lost |
| Restorable | Indirectly (recreation) | Impossible |
Recommendation: always use cancellation. It is enough in 99% of cases and preserves history.
When should you cancel a pledge?β
| Situation | Cancellation relevant? |
|---|---|
| The donor has withdrawn | β Yes |
| You have duplicated a pledge by mistake | β Yes (cancel the copy) |
| The donor wants to decrease the pledged amount | β Prefer Edit |
| The donor wants to change occasion | β Prefer Edit |
| The donor has passed away without paying | β Yes (cancellation for clean accounting closure) |
| The pledge has already received payments | β οΈ See section Partially fulfilled pledge |
Conditions to be able to cancelβ
| Condition | Detail |
|---|---|
| Active pledge | A pledge already canceled cannot be canceled again |
| No active subscription | If a recurring direct debit feeds the pledge, cancellation is disabled. First pause the subscription from Recurring payments. |
Procedureβ
- 1
Locate the pledge
In the list (
/app/promesses/list), find the pledge to cancel. Pending or In progress tab depending on the state. - 2
Open the edit menu
To the right of the row, click the pencil icon (Edit). A drop-down menu opens.
- 3
Click 'Cancel the Donation pledge'
The option appears in red at the bottom of the menu.
- 4
Confirm
A confirmation window appears: "Are you sure you want to cancel this donation pledge?".
Click Yes to confirm. The pledge immediately moves to the Canceled tab.
Immediate consequencesβ
After cancellation, Unisoft automatically applies:
- β Status: the pledge moves to Canceled (red)
- β Tab: it disappears from the Pending / In progress / Settled tabs, and appears in Canceled
- β KPIs: the "Total pledge amount" and "Remaining" counters are immediately recalculated (the canceled pledge is no longer counted)
- β Donor profile: the commitment no longer appears in active pledges, but remains visible in the history
- β No notification is sent to the donor
Special case: partially fulfilled pledgeβ
If the pledge has already received payments at the time of cancellation:
| Element | Behavior |
|---|---|
| Payments already collected | Remain in place, are not refunded |
| Tax receipts issued | Remain valid (the donor did pay these amounts) |
| Statistics of the linked campaign/fund | Payments continue to be counted there |
| Remaining balance | Is no longer tracked (the pledge is canceled) |
View canceled pledgesβ
The Canceled tab (in red) lists all disabled pledges of your organization. You can:
- Filter as in the other tabs
- View the detail to understand why the pledge was canceled (fields, any payments)
- Export as CSV for the archives
No editorial action is possible on a canceled pledge (no editing, no assignable payment).
Restore a canceled pledgeβ
Unisoft does not provide a direct restore button. To "bring back to life" a canceled pledge:
- 1
View the detail of the canceled pledge
To retrieve the values (occasion, type, reason, amount, donor).
- 2
Create a new pledge
With the same fields. See Create a pledge.
- 3
Leave the old one archived
The old canceled pledge remains for the record in the Canceled tab.
Go furtherβ
- Edit a pledge β often preferable to cancellation
- Understand the statuses β exact role of the Canceled status
- Refund a payment β if you also want to return the amounts
