Schedule automatic reminders
Rather than manually sending reminders one by one, configure the automatic cadence once: Unisoft will then send follow-ups on its own to donors with unfulfilled pledges. You retain control to exclude certain sensitive contacts.
Why automate?β
| Benefit | Detail |
|---|---|
| Time saving | No need to scroll through the list to follow up one by one |
| Regularity | Constant cadence β your donors get used to the rhythm |
| Conversion | Regular reminders significantly increase fulfilled payments |
| No oversight | No pledge is forgotten, even the older ones |
Before you startβ
Think about:
- π€ The frequency you want (1, 2 or 3 months)
- π€ The list of donors to exclude (VIPs, recently deceased contacts, donors in conflict)
- π€ Whether you want to notify your donors that you are setting up automatic reminders (recommended)
Procedureβ
- 1
Open the Pledges module
Sidebar β Finance β Pledges. Route
/app/promesses/list. - 2
Access reminder configuration
At the top right, next to the Filters button, click the π icon (purple bell) with the tooltip "Edit automatic reminders".
The configuration modal opens.
- 3
Enable automatic reminders
Check the Enable automatic reminders box.
As long as this box is unchecked, no reminder is sent automatically.
- 4
Choose the frequency
The Automatic reminders frequency drop-down menu offers three cadences:
- 1 month (30 days)
- 2 months (60 days)
- 3 months (90 days)
This frequency defines the interval between two consecutive reminders for the same pledge.
- 5
Exclude certain contacts (optional)
The Contacts to exclude field lets you select donors who will never receive automatic reminders. Useful for:
- VIPs whose relationship you manage directly
- Recently bereaved contacts
- Donors with whom a specific payment agreement has been made
- Contacts in conflict or under mediation
Type the name to search, then select. You can add as many as you wish.
- 6
Validate
Click Validate. The configuration is saved immediately.
How reminders workβ
Once enabled, reminders follow these rules:
| Rule | Behavior |
|---|---|
| Pledges concerned | All active pledges (Pending or In progress) with a balance > 0 |
| Preferred channel | SMS if phone is available, otherwise Email |
| Delay | The reminder is sent every N days (according to the configured frequency) since the last event (pledge creation, last payment, last reminder) |
| Excluded pledges | Pledges from contacts in the exclusion list |
| Pledges covered by a subscription | Never reminded (automatic direct debits handle collection) |
Temporarily disable remindersβ
To pause reminders without losing the configuration:
- 1
Reopen the configuration modal
π button at the top of the pledges list.
- 2
Uncheck 'Enable automatic reminders'
The Frequency and Exclusions fields disappear.
- 3
Validate
No automatic reminder is sent as long as the box remains unchecked. The exclusion list is preserved.
Adjust exclusionsβ
To add or remove a contact from the exclusion list:
- Reopen the modal
- Edit the selection in Contacts to exclude
- Validate
The effect is immediate: removed contacts can receive the next reminder (according to cadence), added contacts will no longer receive any.
Compatibility with manual remindersβ
Manual reminders (see Send a manual reminder) remain always available, even if automatic reminders are active. You can therefore:
- Let Unisoft manage the general cadence
- Occasionally send a targeted reminder for a specific donor (before an event, after a phone conversationβ¦)
Cadence best practicesβ
| Frequency | Suits |
|---|---|
| 1 month | Short pledges (campaign cycle, recent gala), donors used to follow-ups |
| 2 months | Balanced cadence, recommended by default |
| 3 months | Long-term pledges (pledges over several years), donors reluctant to frequent follow-ups |
