Schedule automatic reminders

Preview: Schedule automatic reminders

Rather than manually sending reminders one by one, configure the automatic cadence once: Unisoft will then send follow-ups on its own to donors with unfulfilled pledges. You retain control to exclude certain sensitive contacts.

Why automate?

BenefitDetail
Time savingNo need to scroll through the list to follow up one by one
RegularityConstant cadence β€” your donors get used to the rhythm
ConversionRegular reminders significantly increase fulfilled payments
No oversightNo pledge is forgotten, even the older ones

Before you start

Think about:

  • πŸ€” The frequency you want (1, 2 or 3 months)
  • πŸ€” The list of donors to exclude (VIPs, recently deceased contacts, donors in conflict)
  • πŸ€” Whether you want to notify your donors that you are setting up automatic reminders (recommended)

Procedure

  1. 1

    Open the Pledges module

    Sidebar β†’ Finance β†’ Pledges. Route /app/promesses/list.

  2. 2

    Access reminder configuration

At the top right, next to the Filters button, click the πŸ”” icon (purple bell) with the tooltip "Edit automatic reminders".

    The configuration modal opens.

  3. 3

    Enable automatic reminders

Check the Enable automatic reminders box.

As long as this box is unchecked, no reminder is sent automatically.

  4. 4

    Choose the frequency

The Automatic reminders frequency drop-down menu offers three cadences:

    • 1 month (30 days)
    • 2 months (60 days)
    • 3 months (90 days)

This frequency defines the interval between two consecutive reminders for the same pledge.

  5. 5

    Exclude certain contacts (optional)

The Contacts to exclude field lets you select donors who will never receive automatic reminders. Useful for:

    • VIPs whose relationship you manage directly
    • Recently bereaved contacts
    • Donors with whom a specific payment agreement has been made
    • Contacts in conflict or under mediation

Type the name to search, then select. You can add as many as you wish.

  6. 6

    Validate

Click Validate. The configuration is saved immediately.

How reminders work

Once enabled, reminders follow these rules:

RuleBehavior
Pledges concernedAll active pledges (Pending or In progress) with a balance > 0
Preferred channelSMS if phone is available, otherwise Email
DelayThe reminder is sent every N days (according to the configured frequency) since the last event (pledge creation, last payment, last reminder)
Excluded pledgesPledges from contacts in the exclusion list
Pledges covered by a subscriptionNever reminded (automatic direct debits handle collection)

Temporarily disable reminders

To pause reminders without losing the configuration:

  1. 1

    Reopen the configuration modal

πŸ”” button at the top of the pledges list.

  2. 2

    Uncheck 'Enable automatic reminders'

The Frequency and Exclusions fields disappear.

  3. 3

    Validate

No automatic reminder is sent as long as the box remains unchecked. The exclusion list is preserved.

Adjust exclusions

To add or remove a contact from the exclusion list:

  1. Reopen the modal
  2. Edit the selection in Contacts to exclude
  3. Validate

The effect is immediate: removed contacts can receive the next reminder (according to cadence), added contacts will no longer receive any.

Compatibility with manual reminders

Manual reminders (see Send a manual reminder) remain always available, even if automatic reminders are active. You can therefore:

  • Let Unisoft manage the general cadence
  • Occasionally send a targeted reminder for a specific donor (before an event, after a phone conversation…)

Cadence best practices

FrequencySuits
1 monthShort pledges (campaign cycle, recent gala), donors used to follow-ups
2 monthsBalanced cadence, recommended by default
3 monthsLong-term pledges (pledges over several years), donors reluctant to frequent follow-ups

πŸ‘‰ Best practices for follow-ups β€” tone, segmentation, exclusions
