Preview: Create a donation pledge

Single-entry creation is used when you want to record a single pledge: a donor called you, you met them, or you want to revise an existing commitment. To enter multiple pledges at once (typically after a gala or a collective event), prefer Express mode.

Before you start

Prepare the following information:

  • βœ… The donor (existing in Unisoft, or to be created on the fly)
  • βœ… The exact amount of the commitment
  • βœ… The date of the occasion (default: today)
  • βœ… The occasion (Rosh Hashana, gala, Shabbat…)
  • βœ… The type (optional β€” Aliyah, Hagbaha, Honor…)
  • βœ… A free-form reason (descriptive label)
  • βœ… The destination booklet or campaign (optional)

Procedure

  1. 1

    Open the Pledges module

From the sidebar, Finance β†’ Pledges.

    The corresponding route is /app/promesses/list.

  2. 2

    Click 'Record a Pledge'

At the top right of the list, click the Record a Pledge button. A modal window opens.

  3. 3

    Select the donor

A first step asks you to choose a contact from the drop-down list:

    • If the donor exists, select them by search
    • If it is a new donor, click Create a new contact and fill in at least name, first name, email

Then click Validate to access the pledge form.

  4. 4

    Choose the association (if applicable)

If your organization manages several legal entities, select which association the pledge is linked to. The currency and fiscal settings are determined by this choice.

  5. 5

    Enter the occasion

The Occasion field is an autocomplete. Type the context of the commitment:

    • Choose an existing occasion (Rosh Hashana, Passover, Shavuot, Shabbat…)
    • Or create a new one ("Gala 2026", "Hall inauguration", "Bar Mitzvah David")
  6. 6

    Choose a type (optional)

The Type field is used to classify the pledge. Typical examples in a community setting: Aliyah, Hagbaha, Honor, General donation. You can create them freely.

  7. 7

    Give a descriptive reason

The Reason field is the label that will appear in lists and exports. Be precise:

    Example: "3rd aliyah Shabbat Berechit"

  8. 8

    Enter the amount

Indicate the total amount pledged. The currency is automatically that of the selected association. The minimum is 1.

  9. 9

    Choose the date

By default, the date is today. Edit it if the pledge corresponds to a future or past occasion.

  10. 10

Link to a booklet or a campaign (optional)

The Booklet field lets you attach the pledge to a budgetary booklet (for example "Works 2026") or to a marketing campaign. If you choose a campaign, you can fill in additional information (team, sub-category).

See Pledges and campaigns for details.

  11. 11

    Validate

Click Validate. The pledge immediately appears in the Pending tab of the list.

Special cases

Company donor

To record a pledge on behalf of a legal entity:

  1. When creating the contact (if new), check Type: Professional and fill in:
    • Legal name (company name)
    • Company ID (tax identification number)
    • Billing address
  2. The future tax receipt β€” issued for each payment fulfilling the pledge β€” will be in the company's name.

Pledge in foreign currency

If your organization handles several currencies (EUR, USD, ILS, GBP), the currency is set at the association level. Select the right entity to enter a pledge in dollars or shekels.

The module's global KPIs will then display one row per currency: no automatic conversion.

Future pledge (future date)

You can record a pledge for a future occasion (for example "Gala 2027 scheduled for October"). It will immediately appear in the Pending tab, but its occasion date will be in the future. This lets you plan the upcoming collection pipeline.

Pledge with no occasion or type

If the commitment is very loose ("David promised me €500 as a helping hand"), you can leave Occasion and Type empty. Only the contact, amount, reason and date are mandatory.

After creation

Once the pledge is recorded:

  • βœ… It appears in the Pending tab
  • βœ… KPIs are immediately recalculated
  • βœ… The donor profile is updated with a new commitment
  • βœ… No email is sent automatically to the donor β€” it is up to you to decide when to follow up

To collect a first payment right away:
