View of the 'manage Business Units' page

This page describes the three concrete actions you can perform from the Business Units page: create a new Business Unit, edit an existing Business Unit, and authorize users to see a Business Unit. All these actions are reserved for administrators.

Create a new Business Unit

  1. 1

    Open the Business Units page

Avatar at the top right β†’ Business Units, or URL /app/poles/list.

  2. 2

    Click 'Add a Business Unit'

Button located at the top right of the page, above the tab bar.

  3. 3

Fill in the Business Unit name

Name field β€” mandatory. Choose a clear and identifiable name (for example "Beth Habad Lyon", "Preschool Section", "Marseille Branch").

  4. 4

    Choose a color

Color field β€” drop-down selector. Choose a color distinct from those already used by your other Business Units to ease reading.

  5. 5

    Validate

Validate button. The Business Unit is created immediately and the page reloads β€” your new Business Unit appears as a new tab.

Available colors

The color selector offers ten shades:

KeyPreview
redBright red
orangeOrange
greenGreen
purplePurple
cyanCyan
tealTeal (water green)
amberAmber
pinkPink
indigoIndigo
grayGray

Edit an existing Business Unit

You can change the name and the color of an existing Business Unit. You cannot edit the General Business Unit (the edit button is hidden there).

  1. 1

    Select the Business Unit's tab

Click the tab corresponding to the Business Unit to edit.

  2. 2

    Click the pencil button

At the top of the Business Unit's configuration area, to the right of the title, a pencil button (Edit) opens the edit modal.

  3. 3

    Edit name and/or color

The fields are pre-filled with the current values. Edit what you need.

  4. 4

    Validate

Validate button. The page reloads and the tab displays the new values.

Authorize users to see a Business Unit

This is the most important action: deciding who can access a Business Unit. This only concerns Secondary users β€” Administrators see all Business Units by default.

  1. 1

    Select the Business Unit's tab

Click the corresponding tab β€” including the General Business Unit if you want to restrict general access to certain secondaries.

  2. 2

    Open the Authorized Users selector

Multi-select field Authorized Users: click in it to display the list of your organization's secondary users.

  3. 3

    Add users one by one

Each user is displayed with their colored avatar (color defined in the Users page), their first name and their last name. Click to add, click the chip again to remove.

  4. 4

    Validate

Validate button. The list is saved and permissions apply immediately at the next login of the users concerned.

Special case: leaving the list empty

If you leave the Authorized Users field empty for a given Business Unit, all Secondaries will have access to that Business Unit. That is the default behavior: without a defined whitelist, access is open.

The Business Units page does not contain the linking of funds, forms, campaigns or booklets to a Business Unit. This linking is done in each item's page, when creating or editing it:

Type of itemWhere to link to the Business Unit
FundFund creation / edit form
FormForm creation / edit form
CampaignCampaign creation / edit form
BookletAccounting booklet creation / edit form

An item can be linked to one or several Business Units. If it is not linked to any Business Unit, it implicitly belongs to the General Business Unit.

Complete example: set up a regional branch

You want to create the "Beth Habad Lyon" Business Unit and give access to it only to Yossi LΓ©vy and Sarah Cohen, the two secondaries responsible for that branch.

  1. 1

    Create the Business Unit

Business Units page β†’ Add a Business Unit button β†’ name: Beth Habad Lyon, color: green β†’ Validate.

  2. 2

    Select the new tab

The Beth Habad Lyon tab appears, preceded by a green dot. Click on it.

  3. 3

Add Yossi and Sarah in Authorized Users

Click in the field, select Yossi LΓ©vy then Sarah Cohen. Validate.

  4. 4

    Create the Business Unit's funds

Go to the Funds module, create the funds specific to Lyon, and link them to the Beth Habad Lyon Business Unit in their edit form.

  5. 5

Yossi and Sarah now see Lyon

At their next login, Yossi and Sarah have a Business Unit selector that offers them the Lyon Business Unit (in addition to the General Business Unit if you also authorized them on it). They only see the funds, payments and campaigns linked to Lyon.

Takeaways

  • Create a Business Unit: Add a Business Unit button at the top right, modal with name (mandatory) and color.
  • Edit: pencil button in the Business Unit's tab (hidden for the General Business Unit).
  • Delete: not possible from the interface β€” go through Unisoft support.
  • Authorize a Secondary user: Authorized Users multi-select in the tab's form, then Validate.
  • Empty list = all Secondaries have access. To partition, explicitly define the authorized users.
  • Link items (funds, forms, campaigns, booklets) to a Business Unit is done in each item's page, not in the Business Units page.
