A saved search memorizes a **combination of filters + text search

  • sort** under a name. You can thus rebuild in one click a complex segmentation that you use regularly, without re-parametering everything.

Saved searches live in the Advanced search page (/app/contact/search). Two buttons at the top right manage the whole:

  • Save β€” saves the current search.
  • My searches β€” opens the dropdown listing the accessible searches.
  1. 1

    Build the search

Apply your filters, your search text, your sort until you get the desired result.

  2. 2

    Click on Save

The green Save button (to the right of the top bar) opens a small modal.

  3. 3

    Name the search

Give a meaningful name (max 80 characters). E.g.: "Parisian Donors 2025", "Upcoming Bar Mitzvah", "3+ children families in Marseille".

  4. 4

    Choose visibility

Select Personal (only you) or Shared (the whole organization).

  5. 5

    Confirm

Click on Save. The search is saved and loaded automatically β€” its name appears in the top banner.

Personal vs shared visibility

  1. 1

    Open the dropdown

Click on My searches at the top right. The counter in parentheses indicates the number of accessible searches.

  2. 2

    Filter the list

If you have many searches, type a few characters in the Filter… field to reduce the list.

  3. 3

    Click on the search

A simple click loads the search: all the filters, the text search and the sort are restored, and the results list is refreshed.

Each entry of the dropdown displays:

  • An icon:
    • Single character = personal search.
    • Three characters = shared search.
  • The name of the search.
  • A shared badge if the search belongs to another member of the organization (you can load it but not edit it).
  • A trash icon if you are the owner (protected deletion by confirmation).

Once a search is loaded, its name displays in the top banner on a blue background. If you touch a filter, this background turns yellow and a modified badge appears next to the name.

At this stage, two options:

  • Update (orange button, visible only if you are the owner) β€” overwrites the existing search with your new configuration.
  • Save β€” creates a new distinct search with a new name.

To unload the search without saving anything, click on the cross Γ— to the right of the name in the banner.

  1. 1

    Load the search

Click on it in My searches.

  2. 2

    Adjust the filters

Modify what you want. The modified badge appears automatically.

  3. 3

    Click on Update

The orange button at the top right saves your changes to the existing search (reserved to the owner).

You can also change the name or visibility from the update modal.

From the My searches dropdown, click on the trash icon to the right of a search of which you are the owner. A confirmation displays. Once validated, deletion is immediate and definitive.

What is saved… and what isn't

A search saves:

  • The set of advanced filters (all sections, all modes Include / Exclude / Equal).
  • The keywords of the text search.
  • The active sort on the results table.

It does not save:

  • The selected contacts (checked boxes).
  • The current pagination page.
  • The opening state of the filter panel sections.

When you reload a search, you start from page 1, without selection, with a complete re-fetch of results.

Examples of uses

A few scenarios where saved searches save time:

NeedMain filterRecommended visibility
Monthly report of new donorsFirst payment date on the current monthShared
Preparation of the Rosh Hodesh mailing listHas an email + active subscriptionShared
Major donors to recontactTotal paid > €1000, Last payment date > 12 monthsPersonal
Families with children of Bar Mitzvah ageNumber of children β‰₯ 1, Age between 12 and 13 (filtered on children side)Personal
Audit of incomplete contactsHas an email = No + Has a phone = NoPersonal

Technical limits

  • No multiple versions of the same search β€” the update overwrites the previous version without history.
  • No scheduling β€” a search is not executed automatically on a schedule; you must open it manually.
  • No notification β€” the appearance of a new contact in a shared search does not trigger an alert.

To automate these uses, look at exploration reports (/app/explorer) which cover more advanced needs.
